Club Resources

  • Creating a club can be a rewarding and valuable experience as a student leader, as well as give students a chance to collaborate with students who have similar interests.

    For Students

Students are responsible for completing all necessary steps in the club creation process. Clubs must be approved by the ASB Student Council, ASB Bookkeeper, and SKSD Superintendent prior to becoming active. All clubs must submit the SKHS Club Proposal Application to begin the process of club creation.

Before submitting the Club Proposal Application, consider the following:

    • What is the purpose or mission your club is being created to achieve? This statement could include a wide-range of information, from wanting to give back to the community via charitable events and fundraisers to providing a safe space for students to play a specific game, interact with others, or improve an art or passion.
    • Does this club exist already? There are many clubs at SKHS. Prior to creating a new club, consider if any existing clubs already exist to serve the same purpose that your club would. If there is an existing club, talk to the student leadership of that club instead!
    • Who will oversee this club? Every club is required to have at least one advisor. Before applying, ensure you have an advisor who has enough time to dedicate towards attending all club meetings and working with student leadership to achieve the club's purpose. Club Advisors must be a staff or faculty member of South Kitsap High School.
    • What other students are interested? In order to begin your club, students must have leadership roles: ensure you find people genuinely interested in your club's purpose that can fill the required student leadership roles of President, Secretary, and Treasurer (other officer positions are allowed, but must be stated in the Club Proposal Application!).

Once you have answered all these questions, follow these steps for starting the club creation process:

    1. Collaborate with your Primary Advisor to create a concrete definition of your club's purpose.
    2. Decide meeting dates and times. If you cannot decide a schedule in advance, decide the date and time of your club's initial interest meeting -- this is where interested students will learn about the club and decide to become a member.
    3. Complete and submit the SKHS Club Proposal Application

    Club Proposal Application

Once your application has been submitted, it will be sent to the ASB Student Council Clubs Commissioner to review. You will be contacted via school email with any feedback. Any changes or revisions to your application are made at this stage to finalize your Club Constitution, the primary document that governs each club's members and leadership.

At this stage, your club will also be sent for approval by the district. This process typically takes one school week altogether. Once district approved, you will be contacted with the date of the ASB Student Council meeting at which your club will be discussed for approval. You are required to attend this meeting to represent your club.

Once all the necessary approval steps have been met, your club will be considered active! The ASB Clubs Commissioner will work with you and your leadership team to begin advertising, creating initial events and informational meetings, and anything else to get your club running.

    For Advisors

The process for creating a club hinges largely on the commitment of student leaders to the club's formation. Accordingly, students submit the SKHS Club Proposal Application, which begins the process for creating new clubs.

Once the application is submitted for your club, you will receive an email with the ASB Advisor Agreement. This document must be signed digitally and returned via email to the ASB Student Council Clubs Commissioner.

Once your agreement is verified and the Club Constitution is approved by the school, the approval of your club will be put on an ASB Student Council meeting agenda. You must be present at this meeting along with the student leadership. The Student Council can approve or deny your club's application at this meeting. If approved, your club is considered active and can begin operations.

Once your club is initially approved, you will be contacted regularly by the ASB Clubs Commissioner to help you begin advertising, schedule and create initial informational meetings, and generating necessary forms from the ASB Bookkeeper for budgeting and accounting if your club intends to handle financial information.

  • Advisor Changes

To change the primary advisor of a club, a meeting must be called where the change is approved by the current club members (either a 50+1 majority or 2/3 majority is sufficient, but the quorum level should be noted in meeting minutes). After this change is approved, the current club President must contact the Clubs Commissioner, who will provide the necessary next-steps for the advisor approval to be approved by the school, including attending an executive ASB meeting to ratify the change.

Any school staff who advise a club must have a signed and completed ASB Advisor Agreement on record with the Clubs Commissioner before they can act in the capacity of an ASB Advisor. Please email a signed ASB Advisor Agreement to the Clubs Commissioner or bring the completed and signed form to the ASB Office.

    Disbanding Clubs

There are four instances in which a club can be dissolved or disbanded.

    VOLUNTARY DISSOLUTION
All clubs can be dissolved with consent of the current members and officers, dependent on the club's constitution. If dissolved by club meeting vote, the club's primary advisor must email the Clubs Commissioner to finalize required documentation and paperwork.

Once a club is dissolved, their financial account is closed and assets are redistributed according to that club's constitution, or if invalid, the General ASB Fund. Dissolved clubs may not be reactivated, and a new Club Proposal Application is required to restart a dissolved club.

    DEACTIVATION
Deactivation of a club may be ordered by the Clubs Commissioner, Executive ASB Advisor, ASB Bookkeeper, Vice Principal of Activities, or Principal and will result in a suspension of club activities until reactivated. Deactivated clubs may not set, hold, or manage meetings, make or manage transactions, or vote or make decisions as an entity, however, deactivated clubs are not considered fully dissolved and still maintain their record, account code(s), and documentation.

    1. Each school year, all clubs are required to submit a verification of club information form when prompted by the Clubs Commissioner. Failure to submit the form after one month of being posted may result in the Clubs Commissioner deactivating your club until your information can be verified.
    2. Any clubs that do not have an active primary advisor may be deactivated by the Clubs Commissioner until an advisor can be verified and approved.

    INVOLUNTARY DISSOLUTION
Dissolved clubs are fully disbanded and removed. Once a club is dissolved, their financial account is closed and assets are redistributed according to that club's constitution, or if invalid, the General ASB Fund. Dissolved clubs may not be reactivated, and a new Club Proposal Application is required to restart a dissolved club.

    1. Any club that has the status of "Deactivated" for one school year or longer may be dissolved by the ASB Student Council.
    2. Any club that violates the ASB Student Constitution or their Club Constitution may be immediately dissolved by the Vice Principal for Activities.
